TECH TIP
BACKING UP AND RESTORING
USING CMS's BUILT-IN FEATURE

Backup and Restore Using CMS Built-In Function for the Reporting to the MAX including Point of Sale and Non-profit Versions

You should always have a system backup to the internet, tape drive, re-writeable cd-rom, re-writeable DVD,  zip or jazz drive in place – commonly one that runs automatically in the off-hours.  It is critical to have a fairly current backup offsite as well.

In addition to that, CMS provides a utility that is very quick and easy to use, and is very useful in certain situations.

Enter CMS and your company, select Options – File Maintenance – Backup – Backup and OK.

Notice that the path for the backup has, as the final folder designation, the day of the week on which you are doing the backup.

So, if you did a backup on Wednesday, the backup path would show a WED folder.  The file created is a zip file with a file name of  ???data.zip  (where ??? is your company code)

WARNING:  The Restore option should be used only after consulting a technical support specialist.   The restore function is your absolute last problem- solving technique.   Before the restore feature is ever used, a backup to a special location should be done.   Probably 90% of all problems are not solved by the restore process and can potentially cause new problems especially if there are hard disk problems like lost clusters.

Restore is a similar process, Option – File Maintenance – Backup – Restore.  Be sure to select the right “day of the week” folder as the source and then select the  ???data.zip  file.  Be sure the Destination path is the right one for your company (typically, f:\CMSWIN\???).  When the restore is done, your data is back at the point at which you did the backup.

Have your client copy one of the backup folders (eg. WED folder) onto a CD for use as an off-site storage and/or send to their tech support specialist.  You can put the CD in your drive, then go into DMO and start through the Restore process.  BE SURE TO CHANGE THE DESTINATION FOLDER SUCH THAT YOU REPLACE THE DMODATA FOLDER WITH YOUR CLIENT’S COMPANY CODE.  Then finish the Restore.  The SYSPROF files will have been updated with your client’s company data.  You DO NOT create the company first – no need!  A slick way to transfer your client’s data to your computer for troubleshooting, research, etc.
